Hey everyone, with recent updates and rollouts to meeting recording in Teams, we wanted to offer an overview of the basics and surface some advanced features.
Starting and stopping recording
The meeting organizer or another person from the same organization can start or stop recording. If the meeting organizer leaves, recording continues. When all participants leave, recording stops automatically. You can simply leave the meeting when you’re done, and Teams handles the rest. So remember to hit that “Leave Meeting” button or close your laptop.
Once recording starts, each participant is notified automatically through a banner at the top of the meeting screen and the recording icon will turn red in the meeting toolbar. Your admin may have also enabled transcription for meetings. If enabled, it automatically starts with a meeting recording.
IT admins can customize the recording and transcription message and the URL of the privacy policy (instructions here). If one of the participants has a policy for compliance recording, the meeting will be recorded according to the policy even if that participant is from another organization.
As a note, meeting recordings won't capture:
- Whiteboards, annotations, and shared notes
- Content shared by an app
- Shared notes
- Videos or animations embedded in PowerPoint presentations
- Multi-screen share
- Attendee video streams in events optimized for large audiences and in live events
Where to find recordings
Meeting recordings and transcripts save to the organizer's OneDrive in the Recordings folder, even if the organizer didn't attend. Other ways to find them:
- Open the meeting chat and click “View recap”
- Open the meeting from your Calendar and select the Recap tab
- In your Shared files on OneDrive.
If the organizer does not have OneDrive, the recording may be saved to the co-organizer's OneDrive or that of the person who started the recording. Check the meeting chat for the message that shows who owns the recording.
For now, guests and external attendees can view the recording only if it's explicitly shared with them via a link.
Recordings and transcripts are retained according to your company’s policy. If your admin has recordings and transcriptions set to automatically expire turned on, files move to the recycle bin after 120 days. Compliance retention and admin policy can shorten or lengthen time retained.
