QuickBooks Desktop (Pro/Premier/Enterprise) Quickbooks Desktop 2020 Discontinued Services

Here is the list Intuit published regarding parts of QBDT 2020 that will discontinue working 5/31/2023. If you own QBDT 2020 or prior, you own the software. If you have any version of QuickBooks Desktop that includes PLUS in the name, you do not own the software and have to pay an annul subscription to maintain access.

Functions that will no longer work in QBDT 2020 after 5/31/23:

Security updates: Critical security updates

Payroll services: Assisted Payroll, Basic Payroll, Enhanced Payroll, Standard Payroll

Payroll-related services: Direct Deposit for vendors, QuickBooks Workforce (ViewMyPaycheck, VMP)

Credit card processing: Merchant Services, Terminal download (Merchant Services), Recurring payments, Online invoice

Check processing: Intuit Check Solution

Tech support plans & included services: QuickBooks Care protection plan

Other services: Accountant Copy File Transfer, Multicurrency/exchange rate, Contributed reports, Online Banking, QuickBooks Email, QuickBooks Time, Online Bank Feeds

Edit:

Manual .qbo bank imports will also stop working.

Emailing invoices will still work fine if you go into preferences-send forms, and set "send email using:" to webmail instead of Quickbooks mail. Not affected by product sunset.

Although it says "webmail", you can actually use almost any email provider, not just a web-based one like gmail. I have it send via my regular business email.

QuickBooks Desktop (Pro/Premier/Enterprise) Quickbooks Desktop - THE END IS NIGH I received the first "We're sunsetting QBDT" email from Intuit this morning.

I've been saying for several years now that Intuit will likely start moving toward a full-cloud based solution, and today my suspicions were confirmed.

I see their perspective - cloud-based software is much easier to troubleshoot, because most browser-based software is operating system and networking structure agnostic, meaning if you are able to use an approved browser (Chrome, Firefox, Internet Explorer, etc), then you are able to use their software.

In addition, SaaS (Software as a Service), is quite lucrative because the costs to maintain the software - hosting space, bandwidth, etc - is quite low compared with traditional software costs. While my firm is a 100% QBO shop, I know there are a lot of folks (users and accountants alike) who prefer QBDT. While I understand Intuit's reasoning here, I can't help but think that some of their less-expensive competitors are cheering right now.

Today we're announcing important changes to Intuit QuickBooks Desktop that may impact your clients.
After July 31, 2024, Intuit will no longer sell new subscriptions of the following Desktop products in the US:
• QuickBooks Desktop Pro Plus
• QuickBooks Desktop Premier Plus
• QuickBooks Desktop Mac Plus
• QuickBooks Desktop Enhanced Payroll
What is not changing:
• Existing Desktop Pro Plus, Premier Plus, Mac Plus, and Enhanced Payroll subscribers can continue to renew their subscription after July 31, 2024*. We will continue to provide security updates, product updates, and support for existing subscribers.
• All QuickBooks Desktop Enterprise subscriptions (Silver, Gold, Platinum, and Diamond) will continue to be available for purchase for new subscribers after July 31, 2024. Enterprise Gold, Platinum, and Diamond include integrated payroll.
• Accountants can continue purchasing QuickBooks Accountant Desktop Solutions, including ProAdvisor bundles, through our Accountant Sales team after July 31, 2024.
What actions to take with your clients:
While we strongly recommend encouraging your current Desktop clients to move to QuickBooks Online (for more info, click here), we realize that some customers may prefer to stay on Desktop at this time.
• If you have clients on non-subscription versions of QuickBooks Desktop Pro, Premier, or Mac that wish to remain on Desktop, we recommend they purchase a QuickBooks Desktop Pro Plus, Premier Plus, or Mac Plus subscription through our Sales team before July 31, 2024.
• If you have Pro Plus or Premier Plus clients that have been considering Desktop Payroll, we recommend they purchase a QuickBooks Enhanced Payroll subscription before July 31, 2024 or upgrade to QuickBooks Enterprise Gold, Platinum, or Diamond, which include integrated Payroll and can be purchased after July 31, 2024. Alternatively, QuickBooks Online Payroll is available to Desktop clients and is a standalone full-service payroll solution that also offers HR support, Health and 401K benefits.*
• We also recommend that all of your QuickBooks Desktop clients upgrade to the latest version of the software by July 31, 2024. QuickBooks Desktop 2024 includes the latest features and security updates. If your clients are on an active QuickBooks Desktop Plus subscription, they have access to QuickBooks Desktop 2024 with no additional charge and simply have to install the update.
In February 2024, we will notify all QuickBooks Desktop customers of these changes. This gives you and your impacted clients 6 months to purchase a Desktop accounting or payroll subscription if they want to remain on the Desktop platform.
QuickBooks Desktop Product Line-up Changes FAQ
Starting on January 8, 2024, the fee for each direct deposit paid through QuickBooks Desktop Payroll will increase to $4
• This price change impacts QuickBooks Desktop Enhanced Payroll for Accountants when using direct deposit to pay W2 employees.
o Because the employee direct deposit fee is billed directly to your clients, Intuit will send a 30-day notice to your impacted clients, addressed to the primary principals' email address on file.
• For clients on "legacy" Enhanced, Standard, or Basic Payroll plans without monthly per employee fees, the new fee will apply when paying W2 employees via direct deposit.

QuickBooks Desktop (Pro/Premier/Enterprise) QuickBooks Enterprise Desktop – Can freight be moved to the invoice footer?

I’m using QuickBooks Enterprise Desktop and was told that QuickBooks does not allow the freight charge to appear in the invoice footer by default. Instead, freight has to be entered as a line item on the invoice.

Has anyone found a way to have Freight appear separately at the bottom of the invoice, near the subtotal/tax/total section?

This seems like a fairly basic invoicing requirement, especially for businesses that regularly charge freight, so I’m surprised Enterprise does not appear to support it natively.

QuickBooks Online Turn Off The Automated Bill Pay Bills-Due Business Communication Emails

I'm pretty steamed about all the new email that QBO is sending to me and our clients. In this case, specifically, I'n now receiving emails telling me that "You have # bills due by Monday." I can't identify a way to turn these emails off. These seem to be unsolicited promotional emails to get me to pay our bills using "instant payment speed." There is no unsubscribe link, no Bill Pay preference in our Settings, no workflow generating it. Anyone have any insight on how to turn these off?

QuickBooks Desktop (Pro/Premier/Enterprise) QBDT Pro+ 2024 - is it true I can't have more than 1 company anymore?

I have a business company file for my general partnership and another company file for a cottage I rent out as a sole proprietor (with various backups of each). Since upgrading, I always close the popup to sign in to my Intuit account. I want to start a new company file (for a single rental property I just bought with a new 2-person LLC), but it's requiring me to log in.

Is it true that if I log in and associate my Intuit account with this new company, I'll no longer be able to use QB Desktop Pro Plus 2024 with my other 2 companies? And in that case, what are some free options for simple accounting for a single rental property, cash-basis, that doesn't require any invoicing? It's just 2 tenants who pay their rent on time via apartments.com rental portal, a monthly trash bill, and occasional repair costs. No mortgage, it was a cash purchase. I'd like something that can produce a profit-loss statement ideally though.

QuickBooks Online How do I attack this? Reconciling the monthly bank stmt - payments match, deposits match, yet QBO says I'm off by many, many thousands. Previous month reconciliation was fine.

I'm no accountant, I only know what the previous bookkeeper taught me 4 years ago. We just moved from Desktop to Online. I'm fumbling my way through learning QBO and now have this reconciliation situation. I just don't know how to figure out the issue.

Payment amounts match the statement, credit amounts match the statement. The current balance shown in the bank register screen appears OK. But in the reconciliation screen it has a large positive amount labeled "Difference". How do I fix this "Difference" number?

We paid a service to migrate our QBD file to QBO and they said it was fine.

ETA: I'm too anxious to try to investigate this properly before our admin board meets next week as I know I'm in over my head. I have the data I need to prepare the report for August, and after that's done I will dive back in, probably starting over with the July reconciliation then moving on to August.

This could be my own shortcoming, but TBH I have struggled so badly with moving to Online from Desktop. It's just so much harder for me.

I'm very appreciative of those who offered suggestions on how to get this fixed. I really am grateful to each of you.

EDIT 2: I don't know what happened (a not-unusual issue with me) but what I did was undo the July reconciliation, then redo the July reconciliation, then reconcile August, and magically it's fixed. A sincere thanks again to all of you who offered ideas.

QuickBooks Online New to QB Online Plus

I’m an office administrator with no formal Quickbooks training.

I was tasked with putting receipts of items we purchased from our distributor from the beginning of the year to now.

Would this be an “Expense” or a “Bill” and do I need to create “Accounts” for these?

We have 1 card/bank account used for all purchasing. Money goes in, money goes out. Same card.

Quickbooks did a call with me but it wasn’t very helpful. We are only allowed 1 call per year per our tier.

Anyone have actual sound advice on how to tackle this? I’ve come across many conflicting methods.

QuickBooks Online QBO’s audit log is one of those features I overlook until I need it

The audit log is easy to appreciate when you need to figure out who changed something. Being able to see the user, date and what was changed can make tracking down unexpected edits much simpler, especially on files where multiple people are working on them.

Not exciting but definitely one of those features that can save time when something in the books suddenly looks different.

QuickBooks Online First bank rec after conversion to QBO

I moved from a different accounting system to QBO in August. I imported all GL activity for the current year (2026) from the old system. When I set up my bank feed, I had it start with August 1 and I gave it the starting balance that matched what the bank balance was at the end of July. I marked all cash activity that cleared in the old system as cleared in QBO. When I reconciled the bank statement, the beginning balance was off by the amount of the opening bank balance. So I went into the bank account register and uncleared the “opening balance equity” transaction that the system created when I provided the opening bank balance. So that let me reconcile my account, but that opening balance equity transaction is sitting there as “uncleared” in my bank rec…and I imagine it will be there essentially forever. I am trying to think through how I “clear” that without messing up future bank recs? Do I just create what essentially would be a “reversing” entry as I probably don’t want that entry in my equity account anyway?

QuickBooks Online Quickbooks emails my clients without my consent?

Unbelieveable. I used Quickbooks for 14 years when it was a non-subscription service, but a software that I could buy and download to my computer. I just started a similar business, used QB to send invoice to my ONE client, got paid immediately, but not with their "connect to my bank account feature" and did not enter the payment IMMEDIATELY because I only have the one client and I know she has paid me. So later I find out that QB by DEFAULT is now sending my client Payment reminders and Late notices without my knowledge or consent! Furious with them, because who is actually in control of my business?? Quickbooksonline reddit group moderator immediately cancelled my post. WTF??? Just change the default setting...Payment reminders should definitely be a choice. Emails were sent to my client reprimanding her for being late when she wasn't late, and I was completely unaware of this.

QuickBooks Online New feature for paying via email?

One of my customers that has anothet vendor that uses quickbooks told me when they click any email from one of their invoices, it shows all other open invoices that they can pay multiple at once. Our emails are not showing multiple just the one.

Quickbooks says this multi invoice payment feature rolled out in May. Does anybody know about this and why ours may be not offering the multiple invoices payments?

Hi. We will be migrating to QB Online soon, but we first need to clean our customer list so we can have a smooth sync with Service Titan. All customer's name have a customer ID ( IDK WHY QB Desktop put a number by the end of every customer)

Need help. I just exported the customer list to excel and removed the customer's ID, but I can't seem to import a bulk customer in QB Desktop.

QuickBooks Online Currency on Match/Categorize & Vendor is an Absolute Value-Add!

The developers really know what they're doing to add value. Seeing a base currency next to *every* vendor and Chart of Account wasn't on my wish-list, but now that it is there, I'm not sure how I'd live without it. Even though my entire client base is in one country using the same currency, you never know when I might have a brain fart one morning and try to do things in pesos or euros.

QuickBooks Online QBO Trial Balance excludes 2024 transactions from specific accounts — why?

TL;DR: Accountant's October 2025 Trial Balance excel export is missing March–December 2024 transactions from only 10 accounts, including ~R845k in Sales. The transactions are still in QBO, reconciled, and show no relevant audit-log changes. Everything else in the TB matches. QBO Support says filters may have caused it, but how could a filter selectively exclude one period from only 10 accounts?

Has this happened to anyone else?

Our accountant contacted us about some Trial Balance Report for 2025 balance changes;
When I looked at his excel export there were discrepancies in balances with current QBO Trial Balance totals on specific accounts only.

When I reconciled the accounts I found that the Tax Practitioners Trial Balance Report was missing substantial income on Sales and expense accounts: Products and merchant fees for a specific time period 31.03.2024 to 31.12.2024.

The accounts all balanced and were reconciled and I have checked the audit report and there are no changes made except my import and the system logs.

The Accountants excel export of the Trial Balance clearly shows only 2 months of transactions, but only on 10 accounts in the Trial Balance - everything else balances.

At this point I don't know if QBO is capable of glitching out like that. Support says that it must have been filters that were adjusted and updated - but how on only 10 of full chart of accounts?

The accountant says he does not use filters as a response.

I am speaking with a potential new client about working with him. Business uses QB DT to cut checks. Does not do bank imports. Does not record cash receipts.

If he ends the subscription, can he still write checks and have access to historical data or does he lose access to everything?
